Privacy notice

This explains what personal information Webs4U collects, why, and what you can do about it. It is written to meet the Protection of Personal Information Act (POPIA).

What we collect

When you place an order we collect:

  • your name and, if given, your business name
  • your email address and phone number
  • your postal address
  • the domain name and package you ordered
  • the date and amount of your payment, and a PayFast reference
  • the IP address the order came from, and the IP address PayFast notified us from

We do not collect or store card numbers. Those go directly to PayFast and never reach our servers.

Why we need it

  • To register your domain. Registries require the registrant's real name and contact details. This is not optional, because a domain cannot be registered without them.
  • To set up and support your hosting and email.
  • To take payment and send you a receipt.
  • To contact you about renewals and anything affecting your service.
  • To keep accounting records as South African tax law requires.

Who we share it with

  • xneelo, our upstream provider, to register domains and create hosting accounts.
  • Domain registries (ZA Central Registry for .za names, and the relevant registry for other extensions). Registrant details are part of the registration record and some of it appears in public WHOIS.
  • PayFast, your name and email, so they can process payment and send you a confirmation.

We do not sell your information and we do not share it for advertising.

Marketing

We email you about your own services: renewals, outages, changes. We do not add you to a marketing list because you bought a domain. If we ever start a newsletter, it will be opt-in.

How long we keep it

For as long as you are a customer, and afterwards for as long as tax and company law requires us to keep the records (currently five years). Order and payment records are kept for that period even after a service ends.

Your rights

Under POPIA you can ask us to:

  • tell you what information we hold about you
  • correct anything that is wrong
  • delete information we no longer have a lawful reason to keep
  • stop using your information for a particular purpose

Email sales (at) webs4u.co.za and we will respond within 30 days. Note that we cannot delete registrant details for a domain that is still registered, because the registry requires them.

If you are not satisfied with how we handle a request, you can complain to the Information Regulator of South Africa.

Cookies

This site sets one cookie: a session cookie that keeps your order form working while you fill it in. It is deleted when you close your browser. We do not use advertising or tracking cookies on this site.

Security

The site runs over HTTPS. Order data is stored in a database that is not publicly reachable, and access is limited to the people who need it to run the business. No system is perfectly secure, but we do not keep anything we do not need.
